Setting up new season in SAM


Create/Modify product pricing for new season

  • If this is your first time setting up a season, you will need to create products for your team fee and/or class fees.

  • Administration<Products<New product

  • Product Type: Normal; Classification: Scroll down to Fee and choose the type you are creating. Keep in mind that when creating a season involving teams, you always need 2 products, one for House Teams and one for a Standard/Normal Team. For Lil’ Kicker seasons, each class will need to have a product created (Bunnies, Hoppers, etc).

  • Assign a Product GL code if your facility keeps track of these for Accounting purposes.

  • Description: Be SPECIFIC. Your customer sees this as the description shows up on receipts, so be detailed. For example: “Youth, Soccer Spring House Team U-9 and up”

  • You do not need to fill anything out from “Sex” through “Quantity on hand”.

  • Choose your appropriate taxes for your facility.

  • Click the required memberships (if needed) in order to play.

  • SAVE Product

  • Repeat so that all classes are listed and that you have both a Standard and a House Team fee product
 
Create Season:
  • Click Administration<Seasons. Press “Create NEW Season”

  • Choose Facility. Type name (Ex. Soccer, Youth Spring Mar-June 09), type of season, and start and end date of the season.

    • Note: When choosing a season name, keep in mind that the customer will see this on-line and the more descriptive it is, the easier it will be for them to choose which season they want to sign up for.

  • On-line Registration box: Some facilities would like their customers to register and pay for everything on-line. This is possible if you have set up your season correctly to accept payments via MySAM for a specific time frame.

  • Note: If you want to close team registrations so that new teams cannot register but you still want people to be able to log-in and pay their team fees and be added to team rosters, LEAVE the box that says “Enable New Team Registrations” unchecked. You will need to have the dates filled out for registrations.

  • Type an On-line description that will be seen by your customers in MySAM.

    • For example: 8 game season. Girl's U-9 through High School (Rec.) play primarily on Saturdays. Boy's U-9 through High School play primarily on Sunday's. Select leagues (U-11 through U-16) play primarily on Sunday's. Weekday games for all leagues are possible!


Create/Modify product pricing for new season

  • If this is your first time setting up a season, you will need to create products for your team fee and/or class fees.


Create Leagues:

  • Click Administration<Leagues. Choose your Facility and the new Season you created. Press “Create New League”

  • Type League Name (Ex: GU-11, Rec. or Big Feet 5-6 Beginners)

  • Choose appropriate Class/Team fee

  • My SAM options: If you do not want customers to be able to sign up for this League, click “On-line Registration Closed”.

  • Pro-rating: For Lil’ Kicker classes, if you would like the customer to automatically only be able to sign up for the remaining classes left in the class calendar, click “Allow pro-rating”
  • *NEW* Age Restriction: You can now choose whether you want to enter a specific age range or a birth date range. For some sports like youth soccer, they use an age chart where having the birth date range is more accurate.

  • Standings Type: Fill out the Classification setting for this league.

  • Number of Games/Classes: This is very important when it comes to entering classes and for house teams as SAM charges customers depending on the number of classes you have said are going to be in the season.

  • My SAM League Info: Customers will see this info when viewing information about this league so be specific.

  •  For example for a Big feet class: Big Feet classes are for five and six year-olds who have not played soccer before. These classes concentrate on giving beginning kids a set of basic soccer skills (dribbling, passing, trapping, scoring) and some confidence on the field of play. Kids will be introduced to the ideas of sportsmanship and team play. Kids will play some small-sided soccer games and be encouraged to progress into Micro Leagues.

- Big Feet classes are 50 minutes long

- The ratio for Big Feet classes is 12:1


Create New Teams and a Class Series.

  • Don’t forget that once you have created a season, you can use the Season Export tool next time the new season needs to be set up to save yourself A LOT of time.

Log-in as a customer in My SAM to make sure your seasons are showing up correctly.

  • You can modify your own customer account by changing your birth date to be able to see the different seasons you have set up.
